How to add, edit, search, and filter People

People in BuildBook include important contacts that you can manually add or that are automatically created by inviting them to a Project, such as team members, subs, clients, etc. To access People, click the People tab in the upper navigation menu.

People is organized by:

  1. Name - First and Last Name as input by you or by the user if they created an account via a project invitation

  2. Type - What type of contact this is (ie: Client, Designer, Painter, Architect, etc)

  3. Company - The Company Name that the contact is a part of, if applicable

  4. Role - This is specific to contacts who are part of your team or projects.

    1. Pro Team: A member of your Pro Team

    2. Collaborator: A Collaborator on a project

    3. Client: A Client on a project


Add a Person

Users are added to People in a few ways:

  1. When you invite someone to a Project that doesn't yet exist in People, a new contact is automatically created for that user.

    1. Until the user accepts the project invitation, they are classified as a "pending" user, which can be identified in People by the clock icon next to their name

    2. Once the user accepts the project invitation, their contact information will be updated with the First Name, Last Name, and Avatar (profile pic) that they set up

  2. When you create a new Opportunity and add client information, a new contact is automatically created for the client.

  3. Manually, by clicking + Add Someone


Edit a Person

To edit an existing person, click on the name you wish to edit.

Details

  • Contact information like name, email, phone, address, and profile picture can be added here.

If the First Name, Last Name, and Email address are locked, then this contact is associated with an existing BuildBook account and is controlled by the user.

  • Type is the type of contact this is, such as a client or sub. To change a contact type, simply click the Type dropdown menu, start typing the new Type, and hit the return/enter key on your keyboard or click Create.

  • Company - If the contact has a Company they work for, you can add their company name here the same way that a custom Type is created as described above.

  • Vendor - If the contact should be associated with a Vendor, choose the existing Vendor name from the dropdown or type a new one.

  • COI Expiration - For subs, you can include a Certificate of Insurance Expiration Date.

Projects

Add users to or remove them from project(s) (including bulk adding them to Projects!). Click Projects in the left sidebar of the profile. Then click + Invite to a Project.

Please note that only people with an email address will be able to be added to projects. If the client or collaborator does not have an email address, you'll see a banner alerting you that the person needs an email address.

Additionally, a person can't be added to a project while you're still creating their profile. You'll want to create the profile first, then add them to the project(s).

Once you've clicked + Invite to a Project, you can add the user to a single project or bulk add them to multiple projects.

  1. Project - Select the Project or Projects you'd like to add the user to. This Project drop-down includes all of the Projects within your account. You can select all projects or specific ones.

  2. Role -

    1. Pro Team Members: Pro Team Members must first be added to your BuildBook account before you can add them to a Project. After they've accepted your Pro Team invitation, return to the People section and add them to your projects.

  3. Permissions - Choose what access the user has in each project. If you add someone to multiple projects, you'll initially choose one permission setting for all of them since most of the time, the same user settings are used for every Project.

Once added to the projects, you can adjust permission settings for Collaborators and Pro Team Members within each project individually from the People tab, or you can do so within the project's settings.

Since clients typically only need access to a single project, their permissions are managed directly within the project settings.

To send the invites, click Send Invite and you'll see a Pending status next to each project. Once the user accepts the invitation(s) the status will disappear.

Each project invite to Collaborators and Clients is sent individually, so they'll need to click on each email to accept the invite. This allows the Client or Collaborator better control over which invites they want to accept. Once an invite is accepted, you'll receive a notification that they joined the Project.

If you want to remove someone from a single project from the People tab, click the trash can icon directly next to the Project name.

If you'd like to remove someone from all Projects, you can do so by clicking Remove from All.

Notes

Add any important notes relevant to the contact that you'd like to be able to reference anytime.

Attachments

Within Attachments you can add any documents related to the contact.


Search and Filter People

To filter contacts by type, click the 'All' dropdown from the People tab. From here you can choose which type to filter all of your contacts by.

You can also search for people by name or company name in the Search bar located in the upper right, next to the contacts filter.

Delete a Person

Delete a contact by clicking the the ••• menu to the right of the contact, or within a contact card using the same method.

If the contact you're trying to delete is associated with a project, you will need to remove them from the project(s) before they can be deleted.
