Connect BuildBook Projects, Bills, Expenses, and Invoices to QuickBooks Online

As you sync BuildBook to QuickBooks Online, here is a step-by-step guide to get you started!

Before moving forward with setting up the QuickBooks integration, there are a few requirements that must be met.

  • BuildBook's integration is only compatible with QuickBooks Online. QuickBooks Desktop is not currently eligible for sync

  • QuickBooks Sync is currently available for United States (USD-based) users with a QuickBooks Plus plan or higher

  • At the time of set up, you must be logged in to BuildBook as the Account Owner or Pro Team Admin and a QuickBooks Online Admin account

  • To push invoices, you must have Automated Sales Tax turned on. Read more on sales tax requirements here.

What information syncs

The QuickBooks Sync focuses on a push model that takes data from BuildBook and pushes it to QuickBooks Online. This sync pushes the following information from BuildBook to QuickBooks Online.

  • Project Bills

    • Bill status (bill payments)

  • Project Expenses

  • Project Invoices

  • Vendors and customers

We recommend backing up your QuickBooks Online instance before enabling QuickBooks Sync with BuildBook. For more information on backing up your instance, see this Intuit QuickBooks Online help doc.

Get started

  1. Next, match your BuildBook Cost Codes in QuickBooks. BuildBook and QuickBooks are integrated through each system's Cost Codes. This is an essential part of syncing your BuildBook account to your QBO account, as they are integrated through each system's Cost Codes.

    Cost Codes work like a plug with QuickBooks's Products and Services: each Cost Code must be paired to a single, unique Product and Service.

  2. Once the connection is enabled and the Cost Codes are matched, the third step is to connect a BuildBook Project to QuickBooks.

    1. We strongly recommend first creating the project in QuickBooks because the Project you are syncing from BuildBook must exist in QuickBooks and the Customer you are including as the Billing Contact must exist in both QBO and BuildBook.

    2. Next, you can either create a new Project in BuildBook

Sync your first items

Once the platforms are connected, Cost Codes have been matched, and a Project has been synced, you're ready to sync Bills, Expenses, and Invoices from BuildBook to QuickBooks!
