How to create new Tasks

Tasks are a great way to keep track of important items that need to be completed. You can add as much - or as little - detail as you'd like to Tasks. If you need something as simple as a punch list item that isn't assigned to anyone but that you want to show up on the schedule, just add a name and due date.

To create a new Task, follow these steps:

Start by clicking on + New Task in the upper right hand corner of your Tasks tab (you can also create this from the BuildBook Dashboard, Project Home or Schedule):

When first creating your Task, Title, Assigned To, Due Date and Status appear. If you have more details you'd like to add to the Task, choose from any of the icons in the bottom left of the Task. In order to save the Task, you'll have to provide at least the Title but all other information is optional!

From there, you can add additional information:

  • Assignees - this is the person/s that is working on the Task or those who need visibility on Tasks to ensure completion.

  • Due Date - this can be a single day or a date range. Tasks do not need to have a due date but only Tasks that do will appear on the schedule.

  • Status - This tells you what the progress is on the Task. The default options are Not Started, In Progress, On Hold and Completed.

Additionally, you have several icons at the bottom of each Task that allow you add more details!

  • Scheduling - which will allow you to add the Task to a Phase or create dependencies.

  • Notes - allows you to add detailed notes for your Team, Collaborators or Clients to see.

  • Sub-Tasks - these are additional to-do's of a Task that need to get completed before the Task can be fully completed. Sub-Tasks are an awesome option for your Punch Lists!

  • Tags - these allow you to tag items for better organization! What type of Task is this? Does it belong to a specific team? Tags also allow you to filter for that info!

  • Attachments - you can upload files to your Tasks for others to see. You can upload PDF drawings or even photos to ensure everyone has all of the information they need!

Once a new Task is created, your team, collaborators and clients who you've shared the Task with can comment on it and @mention others in the comments.
