Unlinking a Project from QuickBooks Sync

If you sync a project to QuickBooks Online and realize you need to make changes to the project name or sync destination, as long as no objects (bills, expenses, or invoices) have been synced, you can remove the connection between your project and QBO.

Unlinking a project from QuickBooks Sync is not the same as disabling sync on a project. Unlinking is permanent and cannot be undone. If you only want to pause sync without making any changes, please disable sync from the Manage QuickBooks page.

When would I need to unlink a project?

Unlinking a project can be helpful if:

  • You found a typo in the project name

  • You synced to the wrong billing contact

  • You synced to the wrong destination (subcustomer or project) in QuickBooks Online

  • You want to rename the project

When am I able to unlink a project?

You can unlink any project if:

  • It has been synced to QuickBooks at any point (it appears in your projects list on the Manage QuickBooks page).

  • It does not contain any synced items (bills, expenses, or invoices). If the project contains these items, they must show the "Not Synced" status on the Status Log.

  • The project's sync is disabled from the Projects list in the Manage QuickBooks page.

What exactly does unlinking a project do?

Unlinking a project removes the connection between the BuildBook project and its QuickBooks Online destination (subcustomer or project). It reverts the project sync as if the project was never before synced to QuickBooks Online.

Unlinking a project does not destroy any data in either platform. Unlinking a project will not delete any customer, subcustomer, or project in either product. Unlinking a project will also not modify the Billing Contact to Customer connection.

How to unlink a project

Like other QuickBooks Sync settings, you must be a Pro Team Admin to complete these steps.

  1. Scroll down to the projects list and find the project you'd like to unlink

  2. If you haven't already, disconnect the sync using the toggle on the right


  3. Click the Status Log link to the left of the toggle to open the project's status log


  4. On the status log, click Integration Details in the top right


  5. On the Integration Details modal, click the Unlink Project button


  6. You will be asked to confirm your selection. Please read the modal carefully before confirming. Remember, this action cannot be undone. Please reach out to our support team if you are unsure.

  7. The project will then be unlinked from its QuickBooks Online destination. It will no longer appear in the Manage QuickBooks page. Items will no longer sync to QuickBooks Online. To re-start the sync, you will have to re-sync the project from the Sync a Project button at the top of the Manage QuickBooks Sync projects list.
